Booking a bus for a school field trip—when is the best time?
Four weeks, several months, or even during the previous school year? The best time to book a bus for a school field trip, project week, or sports week depends primarily on the planned trip and the travel dates.

The best time to book depends on your school trip
The date for the next field trip has been set, the project week is taking shape, or the winter sports week has already been planned. That leaves one question: When should you book the right bus with a driver?
There is no one-size-fits-all answer to this question. However, based on our experience with bookings made through busfinder.com, depending on the type and timing of the planned school trip, it may be worth starting your search for a suitable bus well in advance.
First of all, it depends on what you have planned with your class—a day trip, a field trip, or a school trip lasting several days, a project week, a sports week, or a language week?
The travel dates also play an important role. Demand for tour buses can rise significantly, especially around popular dates. You can find an overview of school breaks and important dates in our article on the 2026/27 school year—“School Breaks and Important Dates at a Glance.”
A day trip or a school trip lasting several days?
For a day trip, a bus with a driver is usually needed only for the round trip or for a single day. This often makes it easier to find a suitable provider, even with a somewhat shorter lead time.
For school trips lasting several days, there’s another consideration: Is the coach needed only for the trip to and from the destination, or should it stay with your group for the entire trip?
For example, if the class is taken to their lodging and picked up again a few days later, the trip there and back can often be handled as separate trips. This provides additional flexibility when searching for a suitable bus company.
The situation is different if you also need the bus on site—for example, for daily transportation to the ski slopes, trips to activities, or excursions in the region. In this case, the bus and driver will remain with your group for the entire trip and will not be available for other trips during that time.
The longer you need a bus for a continuous period, the more worthwhile it is to book early.
When is the best time to book a bus for the trip?
Based on our experience with school trips, we have developed the following guidelines for planning:
| What | When | Recommended booking period |
|---|---|---|
| Day Trip to Mark the Start of the School Year | August, September | May, June |
| End-of-School-Year Day Trip | June, July | February, March |
| Sports, Project, or ” ” Language Week in the Fall | September, October | Travel to and from the destination only: May, June Bus during the trip (on-site): February, March |
| Sports, Project, or ” ” Language Week in Winter | November, December | Travel to and fromthe destinationonly: August, September Bus transportation during the trip: June, July |
| Sports, Project, or ” ” Language Week in Winter | January, February, March | Travel to and fromthe destinationonly: August, September Bus transportation during the trip: August, September |
| Sports, Project, or ” ” Language Week in Spring/Early Summer | March, April, May | Travel to and fromthe destinationonly: November, December Bus transportation during the trip: September, October |
As a general guideline, we recommend allowing at least four to six weeks’ lead time when booking a bus. During peak periods and for multi-day trips with a bus attendant, it’s worth planning much further in advance.

Field Trips Right After School Starts
If field trips, excursions, or other day trips are already planned for the first few weeks of the new school year, we recommend booking the bus before school ends in June or July. That way, transportation to and from the school will already be arranged, and you won’t have to worry about finding a suitable bus at the start of the new school year.
Project and Sports Weeks in the Fall
For trips lasting several days in September or October—such as project, sports, or language weeks—it’s also a good idea to arrange for the bus by June or July. This is especially true if the bus and driver are needed not only for the trip to and from the destination but also on-site during the week.
Winter Sports Weeks
For winter sports weeks, the ideal time depends both on your travel dates and on how long you’ll need the bus.
If the winter sports week takes place as early as November or December and you need the bus only for the round trip, our experience shows that there is often still a good selection of options available when school starts in August or September.
If, on the other hand, you want the bus to stay with your group for the entire winter sports week—for example, for daily transportation between your lodging and the ski slopes—it’s a good idea to start looking at the available options before school lets out in June or July.
For winter sports weeks in January, February, or March, the start of the school year in August or September is a good time to check the available options and book the right bus.

Project Weeks and Summer Sports Weeks in the Spring
If you’re planning a school trip lasting several days in the spring or early summer, we recommend starting your search for a suitable bus as early as November or December of the previous year—especially if you want the bus and driver to stay with your group for the entire trip.
The later in the new year the trip takes place and the less the bus is needed locally, the more flexibility there usually is.
For example, if the bus is only needed for the trip to and from the destination, suitable options may still be available in January or February.
Day Trips Before the End of the School Year
Experience has shown that the last few weeks before summer break are among the most popular times for school field trips. After grades are finalized, many schools use the remaining school days for hiking trips, field trips, and group end-of-year activities.
Although demand is spread out somewhat due to the different school vacation schedules in Austria, Germany, and Switzerland, there is still a particularly high volume of travel requests during these weeks.
For a day trip around the time school lets out, we therefore recommend making a reservation in February, or by March at the latest.
Or, to put it another way: The early bird…
The teacher who starts early has a wider selection.
Check early—and compare again later if necessary
The offers on busfinder.comare real-time offers based on the current availability of our more than 350 verified partner companies. Especially during peak travel times, it’s therefore a good idea to check early on which buses are available for your trip.
With your busfinder:school account, you can save a planned route. If you don’t want to book just yet, you can revisit your trip at a later time and review the available options again.
Is the trip basically set, but some details still need to be worked out?
Even in that case, booking early can still make sense. Whether and until when an existing reservation can be changed—in terms of the number of passengers, departure time, etc.—depends on the cancellation and processing policies of the respective bus company. Many of our partners offer flexible options in this regard, even relatively close to the departure date.
However, if the trip does not take place, we recommend canceling your reservation as early as possible—even if there is still time left according to the cancellation policy. This allows the bus company to use the bus that had already been scheduled for you for another purpose.
